01 · Import

Five steps from spreadsheet to store

Open Settings, then Import/Export, then Import.

Pick the tab

Inventory, Services, Customer & employees, Other, or Warehouse if you use warehouse features.

Download template

Get a file with the right column headings, and fill it in.

Select file

Choose your file or drop it on the section.

Check the preview

It shows which rows will be imported and which skipped.

Import data

Then see how many rows were added, updated or had errors.

An import changes real records, so Franpos shows its work first.

Only the columns you choose are written

Each section lists the columns it writes, and the line under the preview says how many.

Select all, Clear or Reset to default choose the columns, and the column that identifies each row must stay
Products and services with a matching SKU are overwritten instead of duplicated, which makes an import the quickest way to update many prices at once
Gift cards work the same way, matched on the gift card code
Zero out all items not present in this file asks you to confirm, because any item missing from your file is set to no stock
Imports run in the background, and the bell tells you when one finishes

Audit log

What happened, row by row

The Audit log tab lists every import.

Pick a date range and the locations, then GENERATE
Each import shows its Location, Date/Time, Employee and Import Type with Added, Updated and Errors counts
Download uploaded file returns the file that was sent
Download error file lists the rows that failed, so you can fix and re-import only those

Export

Take it with you, in the columns you pick

Open Settings, then Import/Export, then Export.

Export data for Product, Customer, Service, Brand and more, depending on your kind of business
Tick the columns you want, with Select all, Clear and Reset to default
Narrow the file with the Brands and Categories filters
Download as XLSX, XLS or CSV

Small details that save a Saturday

Products

Product Name, Price, Stock quantity, Min reorder point and Category are required. A missing SKU is generated for you.

Customers

FirstName and LastName are required, with a valid country and state name.

Warehouse

A Warehouse tab appears for warehouse companies.

One at a time

Only one import of each kind runs at a time, and you can keep working while it runs.

Questions about importing and exporting

Will an import overwrite things I did not mean to change?

It writes only the columns listed in the section's column list. Always check the preview before you press IMPORT DATA, and export your current data first if you want a copy to go back to.

What if my SKU already exists?

For products and services, the existing item is overwritten when the SKU matches, instead of adding a second one.

Why were some rows skipped?

They are counted under Errors. Open the Audit log tab and choose Download error file to see the rows that failed. A common cause is special characters in names and codes.

Can I download an old import file?

Links to import files expire. After that the counts stay in the log, but the uploaded file and the error file are no longer available, so download the error file soon after an import.

Does it work on a phone?

No. Import and export are built for a computer.
